Privacy Policy

What this website collects, why we collect it, who we share it with, and the choices you have.

Effective October 30, 2026. Last updated October 30, 2026.

1. What this policy covers

This policy explains how SoundCare Chiropractic handles information collected through the Woodinville Medical Massage website (woodinvillemedicalmassage.com) and any page that links to this policy. It applies to everyone who visits the site: prospective patients, current patients, and casual browsers alike.

Washington residents should also read our Consumer Health Data Privacy Policy, which we maintain as a separate document under the Washington My Health My Data Act (MHMDA), RCW 19.373. See Section 8 below.

2. What this policy does not cover

This is not our Notice of Privacy Practices.

SoundCare is a health care provider covered by the federal Health Insurance Portability and Accountability Act (HIPAA). The medical records we create when we treat you, including your intake paperwork, examination findings, treatment notes, imaging, and billing records, are protected health information governed by HIPAA and by our separate Notice of Privacy Practices, not by this policy. You can read that Notice by requesting a copy at the front desk.

The practical line is this: information you give us through the website is governed by this policy until it becomes part of your patient record. Once it enters your record, HIPAA governs it.

Nothing on this website is medical advice, and using the site does not create a doctor-patient relationship.

3. Information we collect

Information you give us directly. This website has no contact or new-patient form, and we do not ask you to submit health information through it. If you call us at 425-215-1880 or email us, we receive whatever you choose to tell us, such as your name, phone number, email address, and why you are reaching out.

Appointment requests. Our online scheduler is provided by Jane App. When you book through it, you provide information directly to that vendor, which processes it on our behalf and makes it available to us. The vendor’s own privacy terms also apply to that transaction.

Information collected automatically. Like most websites, ours records technical information when you visit: IP address, browser type and version, device type, operating system, referring URL, the pages you view, and the dates and times of your visits. Our hosting provider generates server logs containing this information as a routine matter.

Cookies and analytics. We use Google Analytics 4 to understand how visitors find and move through the site. Google Analytics sets cookies and similar identifiers that generate statistics about site traffic. Our cookie banner asks before Google Analytics loads: if you decline, it does not load, and declining does not affect your ability to use the site or to contact us. Strictly necessary cookies, the ones that make the site function and remember your cookie choice, are always set. You can learn about Google’s practices at policies.google.com and opt out of Google Analytics entirely using Google’s browser add-on.

We do not run advertising or retargeting pixels on this site. We do not use Meta Pixel, Google Ads conversion tags, or similar advertising trackers. If that changes, we will update this policy and obtain your consent before collecting or sharing consumer health data for advertising purposes.

We do not collect payment information through this website.

4. How we use information

We use website information to respond to your inquiry and contact you about an appointment; to schedule, confirm, and remind you of visits; to prepare for your first visit if you become a patient; to operate, secure, and troubleshoot the website; to understand aggregate traffic patterns and improve our content; and to comply with law and respond to lawful requests.

We do not use website information to make automated decisions that produce legal or similarly significant effects.

5. Who we share information with

We share information only as described here. Each vendor acts as our processor or service provider and is permitted to use the information only to perform services for us.

Website host and infrastructure

Receives: server log data.
Why: hosting, security, and backups.

Jane App

Receives: the appointment request details you submit.
Why: booking and calendar management.

Google (Google Analytics)

Receives: pseudonymous usage and device data, only if you accept analytics cookies.
Why: traffic analytics.

Email service provider

Receives: messages you send us by email.
Why: message delivery.

Practice management and EHR

Receives: information that becomes part of your patient record.
Why: treatment, payment, and operations. HIPAA governs it at that point.

Advisors and authorities

Receives: only what is required.
Why: legal obligations, claims, and safety.

We do not sell your information. We do not sell, rent, or trade personal information or consumer health data, and we do not share it with third parties for their own marketing.

6. How long we keep information

We keep inquiries only as long as needed to respond and to document the contact, generally no more than 24 months if you do not become a patient. Analytics data is retained according to our Google Analytics data-retention setting. Server logs are retained by our host on a rolling basis. Records that become part of your patient chart are retained under Washington’s health care records retention requirements, not this schedule.

7. Security

We use HTTPS encryption across the site, maintain access controls on the systems that receive your messages, and select vendors that maintain their own safeguards. No method of transmission over the internet is perfectly secure, and we cannot guarantee absolute security. This is why we ask you not to send detailed medical information by email.

8. Washington consumers: your health data rights

Washington’s My Health My Data Act (MHMDA), RCW 19.373, gives Washington consumers rights over health data that falls outside HIPAA. Principally, that means what you tell us before you become a patient, and health-related inferences drawn from how you browse our pages.

The Act requires that our disclosures on this subject be maintained in a separate policy. That policy sets out the categories of consumer health data we collect and why, the sources we collect it from, what we share and with whom, our commitment not to sell it, and how to exercise your rights of access, consent withdrawal, and deletion.

Health information in your patient record remains protected health information governed by HIPAA and our Notice of Privacy Practices, as described in Section 2.

Read the Consumer Health Data Privacy Policy

9. Children

This website is not directed to children under 13, and we do not knowingly collect personal information from them online. We do treat minor patients. That care is arranged by a parent or guardian and governed by HIPAA and Washington law, not by this website policy. If you believe a child has sent us information through our site, contact us and we will delete it.

10. Do Not Track and Global Privacy Control

Google Analytics loads only after you accept it in our cookie banner, and you can change that choice at any time. Our site does not currently detect Global Privacy Control (GPC) or browser Do Not Track signals automatically, so to decline analytics, use the cookie banner or Google’s browser add-on described in Section 3.

11. Links to other sites

Our site links to third-party resources, including our scheduler and our clinic’s main website. We do not control third-party sites and are not responsible for their privacy practices.

12. Changes to this policy

We will post any changes here and update the last-updated date. If we begin collecting or sharing categories of consumer health data, or using it for purposes, not described in our Consumer Health Data Privacy Policy, we will disclose the change and obtain your affirmative consent before doing so, as the Act requires.
